Data processed and purposes
When you get in touch, the data processed includes your name, email address, the subject and content of your message, and information you voluntarily provide. It is used to answer your enquiry, assess a project and follow up on conversations. Avoid sending sensitive data or unnecessary confidential information.
When you browse the website, the hosting provider may process technical data such as your IP address, date and time, requested URL, browser and connection errors to deliver pages, secure the service and diagnose incidents.
How the form works
The form prepares an email in your own email application. The fields you enter are not sent to a form server or stored in a database by this website. Mattéo Capaldo receives this information only when you actually send the message from your email application. Without this information, it may not be possible to answer your enquiry.
Legal bases
Enquiries about a requested quote or assignment are based on pre-contractual steps or performance of a contract (GDPR Article 6(1)(b)). Other enquiries and website security are based on the legitimate interests of responding to people who contact us and protecting the service (Article 6(1)(f)). Documents subject to a legal retention obligation are kept on that basis (Article 6(1)(c)).
Service providers and recipients
Messages are intended for Mattéo Capaldo. Technical providers act according to their role: Netlify hosts the website, Cloudflare routes emails for woawdesign.be and Google/Gmail provides WOAW Design’s email service. They may process the data needed for these services. Data may also be disclosed to a competent authority where legally required. It is neither sold nor used for automated marketing by this website.
Retention
Enquiries that do not lead to a business relationship are retained for no more than 24 months after the last exchange, then deleted or anonymised. For an assignment, relevant correspondence is kept during the contractual relationship, then only for legal obligations and the establishment, exercise or defence of legal claims within the applicable time limits. Technical data is kept according to the retention periods of the hosting service used, limited to operational and security needs; records relating to an incident may be kept until it is resolved.
Cookies, analytics and external links
The website code does not set cookies or use local storage to track visitors. No Google Analytics, advertising pixel or embedded social media widget is loaded. Google Search Console, used for search visibility, does not require adding a visitor tracking script. If non-essential tools are added, this policy and the consent mechanism will be updated before they are activated.
WhatsApp, LinkedIn and other referenced websites are accessible through ordinary links. Their services and policies apply when you open these links or use them to communicate. The WhatsApp button does not load a WhatsApp widget on this page.
Processing outside the European Economic Area
Hosting and email providers may process data outside the European Economic Area, including in the United States. Their documents describe the applicable safeguards, such as adequacy decisions and standard contractual clauses. You can request information about the safeguards applicable to your data using the contact address above.
Your rights and complaints
Subject to the GDPR conditions, you may request access, rectification, erasure, restriction and portability of your data, and object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time without affecting the lawfulness of earlier processing. No decision producing legal effects concerning you is made solely by an automated system on this website.
Send your request to matteo.capaldo@woawdesign.be. A response is normally provided within one month; a reasoned extension of two months is possible for a complex request and will be notified within the first month. A proportionate identity check may be necessary where there is reasonable doubt.
